Job Title: Administration / Office Manager
Overview
• Responsible for receiving, logging on Radar, acknowledging and responding to all patient complaints whilst adhering to the Operose Complaints Policy and Being Open.
• Provide IT support for Trust and be the first point of contact in the event of someone needing assistance with IT problems.
• To Lead on Practice wide IT projects.
• To manage social media accounts
• To manage and update the Hospital Trust website ensuring that patients are always updated on current issues.
• To be responsible for the smooth running of administration functions including meeting key objectives such as standardizing and auditing the quality of clinical coding, ensuring all documents are scanned onto patient records within 24 hours of receipt, and so on.
• Supporting clinical and non-clinical staff with any administration requirements they may have.
• Line management responsibility for the administration staff (Data Entry, Reports Admin, Medical Secretaries and Care Co-ordinators) to include appraisals, performance management, managing annual leave and rotas.
• Recruitment campaigns for new administrators, from drafting job descriptions right through to appointing. The post holder will ensure the smooth and efficient running of the administration team and functions across all sites. Lead on non-clinical significant event reporting and attend significant event meetings. Line manage the administration staff across all sites including appraisals, performance management, annual leave and rotas.
• Identifying training needs within the team and organizing training as appropriate.
• Delegating and monitoring the day-to-day work carried out by the team ensuring tasks are carried out to agreed standards.
• Managing and resolving any day-to-day issues that arise.
• Regularly reviewing non-clinical policies and procedures to ensure that they are accurate and up to date.
• Liaising closely with the other staff to resolve issues that affect the wider team.
• Providing cover across the three sites as required.

Formal Qualifications, education & training required
Educated to A-Level standard or equivalent
ILM Level 4 qualification or significant equivalent experience
RSA III or equivalent qualification or experience
Essential skills and competencies
• Expert in EMIS, Outlook and other office packages.
• Experience of clinical coding and document management
• Strong IT skills.
• Sound management experience and of leading a large team
• Experience of Being Open and handling complaints.
